AI Document Processing

Stop retyping what is already written.

Every invoice, form and contract your team copies into another system by hand is slow, dull and error-prone. We teach software to read them, check them, and send only the doubtful ones to a person.

From $2,499

In short

AI document processing uses OCR and language models to read business documents such as invoices, receipts, intake forms, applications and contracts, pull out the fields you need, validate them, and post the results into your systems. FIMM builds these pipelines with a human review queue for anything uncertain, so staff check exceptions instead of typing every page. We connect the output to QuickBooks, Xero, your CRM or your own database, and we measure accuracy on your real documents before go-live.

What we build

What we build.

A

Intake from every channel

Documents arrive by email inbox, upload portal, scanner folder or phone photo. Everything lands in one queue, so nothing waits in someone's personal inbox.

B

Field extraction

Vision and language models read layouts that vary from sender to sender: vendor names, dates, line items, totals, policy numbers, signatures and clauses. Messy scans and handwriting get extra checks.

C

Validation rules

Totals must add up, tax numbers must match known vendors, purchase orders must exist, dates must make sense. Business rules catch errors that a model alone would let through.

D

Human review queue

Low-confidence fields are highlighted next to the original page so a person can confirm or correct in seconds. Their corrections feed back into the rules and prompts.

E

Posting to your systems

Clean records go straight into QuickBooks, Xero, your CRM, practice-management software or a custom database, with the source file attached for audit.

F

Accuracy reporting

A simple dashboard shows volumes, exception rates and the fields that most often need correction, so you can see the pipeline improving over time.

How it ships

How a document pipeline ships.

Every project starts with a batch of your real documents, so you see accuracy on the files you actually receive before committing to the full build.

01

Sample

You share a representative batch of real documents, including the ugly ones, and the fields you need from each.

02

Prototype

We run the batch through a first pipeline and show you field-by-field accuracy on your own files.

03

Build

Validation rules, the review screen and the connections to your systems are built and tested end to end.

04

Go live

We run in parallel with your manual process first, then switch over once the numbers hold up.

Frequently asked

Common questions.

What kinds of documents can AI process?
Invoices, receipts, bills of lading, delivery notes, intake and application forms, insurance documents, bank statements and contracts are all common. If a person can read it and find the fields, a well-built pipeline can usually do most of the work.
How accurate is it?
It depends on your documents, which is why we measure it on a sample before the full build. Clean digital PDFs perform very well; poor scans and handwriting need more review. The review queue means low-confidence fields always reach a person.
What does it cost?
Document processing pipelines start from $2,499 as a one-time build. Model and OCR usage are third-party costs and are billed separately.
Our accounting software already has receipt capture. Why build this?
Built-in capture is often fine for simple receipts, and we will say so. Custom pipelines earn their place with varied layouts, industry-specific forms, multi-step validation, or data that has to reach more than one system.
Where is our data stored?
We can run the pipeline in your own cloud account on GCP or AWS, choose regions in the United States or Canada, and use provider terms that do not train on your files. Retention rules are set to match how long you need the originals.
Do we still need staff to check the output?
Yes, for exceptions. The goal is to move people from typing every field to reviewing the few the system is unsure about. As the rules improve, the share needing review should shrink.
Can it handle documents in French?
Yes. Modern models read English and French documents well, which matters for Canadian businesses dealing with Quebec suppliers or customers. We include French samples in testing when they are part of your mix.
How is this different from your AI Integration service?
AI Integration is our broader service for adding AI features to software you already run. Document processing is a focused package for one job: reading incoming documents, checking the fields and posting clean data to your systems, with a review queue for exceptions. It starts from $2,499 as a one-time build.
