AI Knowledge Assistant

Your company knowledge, one question away.

The answer usually exists somewhere: a shared drive, an old proposal, a policy PDF nobody can find. We give your team an assistant that finds it, explains it and shows where it came from.

From $1,999

In short

An internal AI knowledge assistant is a private chat tool that answers staff questions using your company's own documents: SOPs, policies, price sheets, past proposals and product manuals. FIMM connects it to where those files live, respects who is allowed to see what, and makes every answer cite its source so people can check it. We also set up and govern ChatGPT Business or Claude Team workspaces when a vendor tool is the better fit than a custom build.

What we build

What we build.

A

Private assistant over your documents

We index your SOPs, handbooks, templates and past work into a retrieval system, so answers come from your own material. When the documents do not cover a question, the assistant says so.

B

Permission-aware answers

HR files stay with HR and leadership folders stay with the people allowed to open them. The assistant only retrieves what the person asking already has the right to see.

C

Source citations on every answer

Each reply links to the exact document and section it used. Staff can verify in one click, which is what turns a clever demo into a tool people trust at work.

D

Connectors to where files live

Google Drive, SharePoint and OneDrive, Notion, Confluence, help-desk articles and internal databases. New and edited files sync on a schedule so answers stay current, and the assistant can live in a web app, in Slack or in Microsoft Teams.

E

ChatGPT Business and Claude Team setup

If a vendor workspace suits you better, we configure it properly: single sign-on, data controls, shared projects, approved connectors and a starter prompt library for each role.

F

Custom GPT migration

Teams that built a pile of custom GPTs or scattered prompt documents get them consolidated into one maintained assistant with proper ownership.

How it ships

How a knowledge assistant ships.

We start with the questions your team actually asks, test the assistant against them, and launch to a small group before everyone.

01

Collect

We agree which sources are in, which are out, and who should be able to see each one.

02

Index

Documents are cleaned, split and indexed, with permissions carried across from the source system.

03

Test

We check answers against a set of real questions from your staff and fix gaps before launch.

04

Roll out

Launch to a pilot group, gather feedback, then open it to the wider team with a short training session.

Frequently asked

Common questions.

How is this different from just using ChatGPT?
Consumer ChatGPT knows nothing about your business and may keep what staff paste into it. An internal assistant answers from your own documents, respects folder permissions and cites its sources. If a ChatGPT Business or Claude Team workspace covers your needs, we will set that up instead.
What does it cost?
An internal knowledge assistant starts from $1,999 as a one-time build. Model usage and hosting are third-party costs and are billed separately.
Will it make things up?
Any language model can, so we design against it. The assistant is instructed to answer only from retrieved documents, to cite them, and to say when it cannot find an answer. We test it against your real questions before launch.
Who can see our documents?
Only the people who could already see them in the source system. We use business API terms from model providers that do not train on your data, and we can host the index in your own cloud account if you prefer.
Which file types and tools does it work with?
PDFs, Word and Google Docs, spreadsheets, slide decks, help-centre articles and wiki pages are all common. We connect to Google Drive, SharePoint, OneDrive, Notion and Confluence, and to internal databases through custom connectors.
How do we keep it up to date?
Sources sync automatically on a schedule, so a revised policy replaces the old one in answers. We also give you a simple view of which questions went unanswered, which tells you which documents are missing.
How is this different from your AI Integration service?
AI Integration is our broader service for adding AI to software you already run, such as features inside your product or your internal tools. The knowledge assistant is a focused package: a private assistant for your staff that answers from your documents, with citations and permissions. A common starting point is to place it in the chat tool your team already has open all day.
Can it answer customers as well as staff?
This service is built for internal use, where people can see sources and judge answers. If you want a customer-facing assistant, we build that separately with stricter content limits, AI disclosure and a hand-off to your team.
