Client Portals & Internal Tools

One login for clients. One screen for staff.

Files in email threads, status updates by phone, a spreadsheet only one person understands. We replace them with a portal your clients use without training and a back office your team can trust.

From $4,999

In short

A client portal is a secure, branded website where your customers log in to see their documents, invoices, project status and messages. An internal tool is the private admin screen your staff use to run operations instead of spreadsheets. FIMM builds both on Laravel, with role-based access, audit trails and links to the systems you already use, so you stop paying per-seat fees for software that only fits halfway.

What we build

What we build.

A

Secure client login

Accounts with email verification, password resets and optional two-factor sign-in, so each client sees their own records and nothing else.

B

Document exchange

Upload, request and sign-off flows for files, with version history and expiry dates, replacing attachments buried in inboxes.

C

Invoices and payments

Clients view statements and pay online through Stripe, while the portal stays in step with your accounting software.

D

Approvals and requests

Forms that route to the right staff member, track status and record who approved what, and when.

E

Internal admin tools

Back-office screens for orders, jobs, inventory or cases, with search, filters, bulk actions and exports your team will actually use.

F

Roles and audit trail

Fine-grained permissions for staff, clients and contractors, plus a log of every sensitive action for your own records.

G

Messages and notifications

Threaded messages per client or project, with email alerts, so conversations stay attached to the work they belong to.

How it ships

How a portal build runs.

We start with the few screens that remove the most manual work, put them in front of real users, and add the rest in reviewed steps.

01

Discover

We look at how files, requests and status updates move today and list the screens that would remove the most back-and-forth.

02

Prototype

Clickable screens for the main client and staff journeys, reviewed with the people who will use them every day.

03

Build

Working software delivered in checkpoints you sign off, with access rules and data handling tested at each stage.

04

Launch

We load existing clients, send invitations, train your staff and stay on for fixes and new features if you want us to.

Frequently asked

Common questions.

Why build a portal instead of using an off-the-shelf portal tool?
Off-the-shelf portal and internal-tool platforms are quick to start and often the right call for a small team. A custom build makes sense when per-user fees keep climbing, when the tool cannot model your workflow, or when the portal needs to sit close to your own systems and data.
How is this different from your Web & SaaS service?
This service builds portals and internal tools for an existing business, connected to the systems it already runs, from $4,999. If you are launching a subscription product to sell, see SaaS under our Web & SaaS service.
Can clients pay invoices through the portal?
Yes. We connect Stripe so clients can view statements and pay online, and payments flow back to your accounting software. Card details are handled by Stripe, so they never touch your servers.
How do you keep client data secure?
Each client can only see their own records, enforced in the code and covered by tests. We use encrypted connections, hashed passwords, optional two-factor sign-in, regular backups and an audit log. If you handle sensitive data, we configure storage and retention to the requirements you give us.
Can the portal connect to our CRM or practice software?
Usually, yes. We integrate with CRMs, accounting systems and most industry tools that offer an API, and we can sync data from older systems on a schedule when they do not. Clients then see the same status your staff see.
What does a client portal cost?
Client portals and internal tools start from $4,999 as a one-time fee for a focused first release. You own the code, there are no per-seat fees from us, and hosting and maintenance can be covered by an optional monthly care plan.
Can we add features after launch?
Yes. Most portals grow once clients start using them. Because the code is yours and documented, you can keep us on to add features or hand the work to an in-house team.
Can clients and staff use it on their phones?
Yes. Every screen is built to work on phones, so clients can check status, upload a photo of a document or approve a request from a mobile browser. If you later want a native app, the same back end can power one built in Flutter.
